Required Documents

  1. Valid Emirates ID
  2. Transfer Certificate (for students in Grade 3. 2/Year 3 and above), OR an official end-of-year certificate if the transfer certificate is unavailable
  3. Passport (in case the Emirates ID is not available) for students of diplomatic missions or in exceptional cases
  4. Letter from official authorities (if applicable), such as Community Development Authority, and Court or legal authorities, in special cases, including but not limited to:
    • Students under government custody
    • Delay in issuing the Emirates ID
    • Existence of an ongoing court case
  5. Medical documents or explanatory letter from the guardian for:
    • Students with special health conditions
    • Students who discontinued their studies
    • Students who have never attended formal education

Terms and Conditions

  1. The School/ECC is responsible for ensuring that student and guardian information in the KHDA system is accurate, complete and kept up to date at all times.
  2. A student is not considered officially enrolled until they have been successfully registered in the KHDA system.
  3. Student registration details must match the information on the student's Emirates ID, including their full name, nationality, religion and date of birth.
  4. All Early Childhood Centres, nurseries and private Schools in Dubai regulated by KHDA must comply with the approved laws and regulations governing student placement in grade levels and year groups. For Grade 2 and above, admission must not be based solely on the student's age. Schools must admit students based on a valid Transfer Certificate and ensure that all admission procedures comply with the approved guidelines.
  5. If a student's registration request is rejected, the educational insitute must provide the student's parent/guardian with a written explanation of the reason for rejection, in compliance with KHDA regulations. In exceptional cases, such as delays in the issuance of an Emirates ID, provisional registration is permitted for up to one academic year, provided that all other documents are submitted within the approved timeframe.
  6. Emirati students are not permitted to register in private schools that have received a KHDA inspection rating of "Weak" or below.
  7. A student will not be registered into a grade level/year group without a valid Transfer Certificate or official academic documentation.
  8. Academic certificates issued from outside the UAE must be attested by the relevant educational authorities and the UAE Ministry of Foreign Affairs in the country of issuance.
  9. Only final academic results must be entered into the KHDA system. Preliminary or temporary results will not be accepted.
  10. This service is governed by Administrative Decision No. (50) of 2022, which sets out the conditions, requirements, and procedures for approving student registration in Dubai private schools.

The Process

  • Step 1: The School /ECC submits the request via KHDA portal, by entering the student's Emirates ID number to retrieve the required information.
  • Step 2: The transfer certificate is uploaded to the system.
  • Step 3: The guardian signs the Parent-School/ECC contract electronically. Registration is approved immediately upon completion.
